Flexible Work Arrangement Policy

Purpose
Spark Flash recognizes that flexibility in work arrangements can increase productivity, improve morale, and help employees balance professional and personal responsibilities. We trust our team to manage their work effectively, regardless of location or specific hours, provided that client needs are met.
Eligibility
policy applies to all full-time employees who have completed their probationary period (e.g., 90 days).

Note: Eligibility depends on the nature of the role. Roles requiring face-to-face client interaction (e.g., Front Desk Reception) may have limited flexibility compared to back-office roles.
Flexibility Options
Employees may request one or a combination of the following arrangements:

Hybrid Remote Work: Employees may work from home or choose to come to the office is

Core Expectations & Guidelines
To ensure Spark Flash continues to serve our policyholders effectively, the following guidelines apply:

Core Hours: Regardless of start/end times, all employees must be available and online during "Core Hours"

Client Coverage: Departments must ensure there is adequate phone and email coverage during standard business hours (9:00 AM – 5:00 PM). Teams should coordinate schedules so that not everyone is off/remote at the same time.

Communication: Remote employees must be reachable via phone, email, and [Team Chat Tool, e.g., Slack/Teams] during their scheduled work hours.

Performance: Flexible work is a privilege based on performance. It may be revoked if an employee fails to meet quotas, deadlines, or availability standards.
Data Security & Confidentiality (Crucial)
Due to the sensitive nature of insurance data (PII, PHI), employees working remotely must:

Use only company-issued or approved devices.

Connect via the company VPN at all times.

Ensure they are working in a private environment where screens cannot be viewed by others (avoiding public Wi-Fi without security measures).

Securely shred any physical documents containing client information or bring them to the office for shredding.
Procedure

Approval: Once agreed upon, the schedule is documented via email or the HR portal.
